Description:

The HR Administrator is responsible for supporting the Senior HR Manager through the employee life cycle of HR administration.

 

Duties & Responsibilities will include:

  • Co-ordinating Recruitment activity; uploading external job adverts onto external sites eg LinkedIn and Indeed; internal portals, eg Parent company, project portals; managing the Recruitment inbox; liaising with hiring managers/candidates/agencies.

 

  • Preparing Offers and Employment Contracts and Service Agreements for external Consultants

 

  • New employee onboarding:
    1. ordering laptops, mobile phones (O2),
    2. Ensuring relevant documentation (signed contracts, starter forms, signed contracts, Right to Work checks, etc) are returned and processed
    3. Create email accounts for new hires and shared emails for projects and groups; manage the distribution list/s in Office 365; suspend leavers’ email accounts
    4. Deliver HR induction training to ensure new hires have all the relevant information and access they need to be effective in their role
    5. Organise and Deliver Company induction each month with H&S/SMT
    6. Health Cash Plan – provide new hires with relevant information and enrol onto Scheme
    7. BUPA – provide new hires with relevant information and enrol onto Scheme
    8. Manage Adobe, BlueBeam, IT licences

 

  • Manage DBS database to ensure al employees have in date Certifications, managing their annual renewal and ensuring all new hires apply prior to starting

 

  • Ensure all employment references are taken up and confirm back to managers.

 

  • Managing and updating the PeopleHR (holidays, sickness, new employees, leavers, uploading all necessary documentation, running reports etc.).

 

  • Update Payroll spreadsheet with all changes each month, ensuring that all documents – new starter forms, P45s etc, are sent for processing by the deadline date

 

  • Off boarding – confirmation of resignation letters, arrange exit interviews, arrange collection of laptop/phone, calculate holiday entitlement ensure Payroll and employee advised etc

 

  • Employee equipment management, ensuring that the asset management spreadsheet is up to date with all new issues, changes and reassignments
